This page explains what personal data the Association MonCanyon collects when you visit moncanyon.com, write to us, book a canyoning trip or give a gift voucher: why we need it, how long we keep it, who receives it and how to exercise your rights.
1. Who is responsible for your data?
The data controller is the Association MonCanyon, Habitation Morne Houël Dain, Allée des Samanas, 97120 Saint-Claude (Guadeloupe, France), SIRET 921 353 538 00017.
For any question or request about your data: info@moncanyon.com. We have not appointed a data protection officer; this address is your point of contact.
2. What data, why, and for how long?
2.1 Booking a trip
To record a booking, we ask for your last name, first name, email address, phone number, postal address, postcode and town, as well as the number of participants. Depending on the trip, you may be asked an additional question (for example your height for the equipment, or a particular constraint); you can also send us information through the “Report information” link. Your answer and the information reported are deleted 1 month after the trip. Please only include what is useful for the trip.
- Why: to record and organise your trip, send you the confirmation, the reminder and practical information, collect the deposit and then the balance, issue the invoice, and contact you if the programme or the weather changes.
- Legal basis: performance of the contract between us and, for invoicing, our accounting obligations.
- Retention: 3 years after your last trip for the booking file; 10 years for invoices, as required by accounting law; 1 month after the trip for the answer to the additional question and the information reported.
Health information. By accepting the terms when you book, you undertake to tell us about any health problem, medication, recent injury or pregnancy of the participants. You can do so in the optional “Report information” field (or in your answer to the additional question). This information is optional and is used only to adapt the trip and to ensure your safety.
- Who sees it: only the booking team and the guide(s) of your trip, in the booking record, the new-booking email and the summary they receive the day before.
- Legal basis: your explicit consent (Article 9(2)(a) GDPR), which you can withdraw at any time by writing to info@moncanyon.com.
- Retention: deleted 1 month after the trip.
Your card payment is entered directly in the secure module of our provider Stripe: card numbers never pass through our site and we do not store them. We only keep the payment reference.
2.2 Participant information (weight and height)
After booking, you receive a personal link to a form where you enter, for each participant, first name, last name, weight and height. This information is used only to prepare suitable equipment (wetsuit, harness, helmet) and to ensure your safety.
- Legal basis: performance of the contract and our obligation to ensure your safety during the activity.
- Who sees it: the booking team and the guide(s) leading your trip, in the summary they receive the day before.
- Retention: deleted 1 month after the trip.
This link is personal: anyone who obtains it can see and change this information. Only share it with the participants concerned.
2.3 Customer account
You can ask for a customer account to find your bookings. There is no password: you receive a single-use login link, valid for 30 minutes (7 days for the first link). We then keep your name, email, phone number and booking history.
- Legal basis: your request, i.e. your consent, which we timestamp.
- Retention: until you ask for deletion, or 3 years without a booking.
2.4 Gift vouchers
To issue a gift voucher, we record the buyer’s name and email and, if provided, the recipient’s name and email and the personal message intended for them. The voucher is emailed to the recipient, or to the buyer if no recipient is given.
- Legal basis: performance of the contract; for the recipient’s details, our legitimate interest in delivering the gift to them.
- Retention: the validity period of the voucher (12 months), then 3 years for accounting and follow-up.
2.5 Waiting list
If a date is full, you can ask to be told when a place becomes free: we then keep your name, your email, your phone number if you give it, and the number of places wanted.
- Legal basis: your request (pre-contractual measures).
- Retention: 12 months.
2.6 “Contact” and “Find a trip” forms
These forms send us by email what you enter: last name, first name, email, phone number, subject and message, or, for the trip search, the type of trip, the date and the number of participants. They store nothing on the site: the message arrives in our info@moncanyon.com mailbox.
- Legal basis: steps taken at your request before a possible contract.
- Retention: 3 years after our last exchange.
2.7 Messages we may send you
Apart from emails linked to your booking (confirmation, reminder, balance, cancellation), we may write to you:
- if you started a booking without completing it, to offer to resume it;
- after your trip, to ask for your review;
- if you agreed to it, to give you our news when you have not booked for a long time.
These messages are based on our legitimate interest in following up our relationship with you, or on your consent for the last one. You can ask us to stop at any time, simply by replying to one of these emails or by writing to info@moncanyon.com. The messages sent when you have not booked for a long time also contain a “Stop receiving these messages” link: one click is enough, without logging in.
2.8 Audience measurement and advertising
With your consent, we use Google Analytics to know which pages are viewed and how the site is found, and Google Ads to measure how well our ads work, including when a booking follows an ad. These tools place cookies and collect browsing data: pages viewed, origin, device type, online identifiers, IP address.
- Legal basis: your consent, which you can withdraw at any time.
- Retention: cookies kept for 14 months at most; measurement data kept for 14 months in Google Analytics, then deleted.
2.9 Security and operation of the site
Our host keeps technical logs (IP address, date, page requested, browser) to ensure the security and proper operation of the site.
- Legal basis: our legitimate interest in protecting the site and your data.
- Retention: 12 months at most.
3. Who receives your data?
Your data is intended for the team of the Association MonCanyon: the people in charge of bookings, and the guides leading your trip, who receive the day before a summary including your name, your phone number and, for each participant, first name, last name, weight and height, as well as, where applicable, your answer to the additional question and the information reported when booking, which may concern your health (see 2.1). The guides also receive this information in the new-booking email.
If you booked through a partner (accommodation provider, tourist office, reseller), the partner sees, in its own area, the bookings it recorded itself: last name, first name, number of places and amount.
We do not sell or rent your data. It is also processed, on our behalf and according to our instructions, by:
- o2switch (Clermont-Ferrand, France): hosting of the site, its database and our email;
- Stripe (Stripe Payments Europe Ltd, Ireland): secure online payment;
- Google (Google Ireland Ltd): audience measurement and advertising with your consent, maps of the meeting point and video playback;
- Trustindex (Hungary): display of our customers’ Google reviews on the home page.
4. Transfers outside the European Union
Stripe and Google may process some data in the United States. These transfers are covered by the EU–US Data Privacy Framework, to which these companies adhere, and by the European Commission’s standard contractual clauses.
5. Cookies and trackers
A cookie is a small file placed on your device when you visit a website. We use:
- necessary cookies, placed without consent because they are essential to the service: keeping you logged in to your customer account and payment security (Stripe anti-fraud cookies);
- audience measurement and advertising cookies (Google Analytics:
_ga,_ga_*; Google Ads:_gcl_auand conversion cookies), placed only if you accept them; - third-party content that may place its own cookies when it is displayed: Google Maps of the meeting point, YouTube or Vimeo videos on the trip pages, Google reviews on the home page. It only loads with your consent.
You choose on your first visit: accept all, refuse all or customise. You can change your mind at any time with the cookie management link at the bottom of every page. Refusing these cookies prevents neither browsing the site nor booking.
6. Your rights
You have the right to access your data, to have it rectified or erased, to restrict its processing, to object and to data portability, as well as the right to give instructions on what happens to it after your death. Where processing is based on your consent, you can withdraw it at any time.
To exercise these rights, write to info@moncanyon.com. We reply within one month. We will only ask for proof of identity if there is reasonable doubt about your identity.
Some data cannot be deleted immediately: invoices, for example, must be kept for 10 years. In that case, we limit their use to that obligation alone.
If, after contacting us, you believe your rights have not been respected, you can lodge a complaint with the CNIL, the French data protection authority (www.cnil.fr).
7. Security
The site is served over HTTPS. Access to the administration and to bookings is restricted to authorised people. Payments are processed by Stripe, which is PCI-DSS certified: we neither see nor store your card numbers.
8. Minors
Our trips are open to children from the age shown on each trip page. Information about them is provided by the parent or legal guardian who makes the booking.
9. Changes
We may update this policy, for example if we offer a new service or change a tool. The date of the last update is shown at the top of this page.
